PURPOSE AND SUMMARY STATEMENT

 

Provides administrative support to Energy Department staff and salespeople, provides management, supervision, and leadership of the operations of the assigned location including personnel, scheduling, logistics, product handling, application services, and customer satisfaction

 

 

SUPERVISION AND LEADERSHIP

 

Provides supervision and leadership for Operations and Administrative Assistant personnel assigned to the location.

 

 

ESSENTIAL JOB FUNCTIONS

 

Manages operations of the assigned location including personnel, scheduling, logistics, product handling, application services, and customer satisfaction.

 

Meets and greets clients and visitors.

 

Answers telephones and provides appropriate customer service or directs to appropriate staff member.

 

Posts payments to customers account.

 

Researches and processes customer claims of invoice payment.

 

Posts billing transactions to accounting records and ensures accurate and consistent billing methods.

 

Answers accounts receivable phone inquiries and provides appropriate follow-up as needed.

 

Adheres to and supports the company credit policy, checking credit history of patron before making asale, and explaining policy to new customers.

 

Records and logs customer or client complaints and forwards records to appropriate personnel if necessary.

 

Provides Risk Manager with monthly contract report.

 

Compiles data and prepares invoices by gathering purchase orders, sales tickets, delivery tickets, load-out documents, and charge slips for billings using computer based programs and software.

 

Ensures accurate pricing and maintains record of current price lists. 

 

Coordinates physical counts of inventory, reconciles inventory variances, posts inventory transactions and  reviews shipping documents and bill of ladings to verify product received/returned and transferred in/out.

 

Receives and records account payments, prepares and balances daily deposits to sales report, and ensures daily credit of deposit to company’s bank account.

 

Assists manager in maintaining current pricing and communicating pricing to other department staff.

 

Manages transport loads, orders products and maintains accurate inventory records.

 

Prepares and maintains accurate lease records.

 

Supports staff in assigned project based work both in a team-oriented environment and independently.

 

Schedules and coordinates meetings.

 

Assists with contract preparation.

 

Performs general clerical duties included but not limited to: photocopying, faxing, mailing, and filing.

 

 

OTHER JOB FUNCTIONS

 

 

Cross-trains and serves as backup for other administrative positions as assigned.

 

May be required to pick up/drop off local products or materials by request.

 

Follows GROWMARK’s Code of Conduct and Corporate Compliance Program, Environmental Health and Safety, OSHA and DOT policies and procedures, as they apply.

 

Performs all other duties as assigned.

 

 

REQUIREMENTS

 

Normally requires an Associate’s Degree in Agricultural or Business discipline, or the equivalent thereof, and 3 - 6 years or more of supervisory related work experience to demonstrate knowledge to effectively manage the assigned facilities and personnel. 

 

Demonstrates essential abilities including business knowledge, collaboration, communication, customer focus, decision making and skill development.

 

Must have and maintain a valid driver’s license and satisfactory driving record.

 

Prefer an understanding of GROWMARK agronomy and/or energy operations.

 

Ability to work extended hours when necessary.

 

Ability to travel independently and overnight.

 

Ability and willingness to participate in required training that may include education on GROWMARK’s policies and procedures and additional training as it relates to the requirements of the position.
