Job Description
Position: Sales Support / Plant Secretary
Reports To: Plant Manager
Hourly Range: $18-$22/hour
Job Summary
The Sales Support / Plant Secretary provides front-line customer service, supports sales activities, and performs essential accounting functions related to billing and inventory management. This role ensures accurate documentation, timely processing, and adherence to company procedures while maintaining a professional and customer-focused environment.
Responsibilities
Customer Service
- Answer incoming telephone calls by the third ring in a friendly, courteous manner.
- Accurately and efficiently process customer orders and relay information to the appropriate salesperson.
- Address and resolve customer concerns professionally and effectively.
Billing and Accounts Receivable
- Prepare and submit invoices for all products picked up or delivered from the facility.
- Maintain and update billing split information for all patrons.
- Utilize Agvance to complete billing tasks in a timely and accurate manner.
- Invoice company-use items monthly.
- Process daily payments and prepare “Paid on Account” entries.
- Mail monthly customer statements issued by the corporate office.
- Assist the Energy Salesmen with the wEBS program as needed.
Inventory Management
- Process product receipts in Agvance and scan shipping documents using KwikTag.
- Prepare transfer tickets for all product movement between plants.
- Follow inventory control procedures to minimize product shrink.
- Maintain a zero balance on all non-inventoried items.
- Partner with the Plant Manager to reconcile product shrink by the last day of each month.

- Maintain professional communication at all times, demonstrating respect for fellow employees.

- Attend scheduled company meetings.
- Collaborate effectively with coworkers across the organization.
- Develop and refine procedures to enhance office efficiency.
- Maintain a clean, organized workspace and contribute to the overall upkeep of the office for both staff and visitor presentation.
- Assist in developing, updating, and documenting job aids and procedural manuals; communicate any updates to the company CFO.

Education and/or Experience
High school diploma or general education degree (GED) required. One to two years’ related experience desired.
Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
Reasoning Ability
Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Other skills and Abilities
Ability to 10-key, touch type and operate other common office equipment.
Substantial experience in a PC environment and fluency in Microsoft Excel and Word computer software is highly desirable.

Actual compensation will be determined based on experience, location, and other factors permitted by law. In addition to base pay, certain roles may be eligible for bonuses, incentives, and commissions.
