This is a remote position that will require limited travel  to work functions, trainging and company locations.

 

PURPOSE AND SUMMARY STATEMENT

 

Provides administrative support to the Energy Sales team to ensure timely and accurate information for the Energy Department. Projects a professional company image through phone interaction with external and internal customers, utilizing the FS Way Service Excellence Standards.

 

 

ESSENTIAL JOB FUNCTIONS

 

Receives orders from fleet fueling customers and dispatches them to the appropriate delivery person.

 

Dispatches orders for tank wagon, transport, lubricant/DEF and propane deliveries.

 

Reconciles truck inventories and delivery tickets. Ensures that gallons listed on delivery tickets match metered gallons and verifies accuracy for fleet information and pricing.

 

Resolves customer questions concerning statements and reconciles payments to accounts.

 

Assists Energy Sales team in the sales cycle by preparing price quotes and sales proposals for new business opportunities.

 

Communicates daily contract pricing, rack plus pricing and market update information to customers and prospects.

 

Works with customers and Credit Manager to ensure the credit application is completed accurately, along with tax-exempt forms. Ensures the customer has an approved line of credit prior to any equipment being set and installed, and before any deliveries are dispatched.

 

Works closely with Energy Sales team to ensure proper asset tracking and documentation (lease agreements) is in place for company-owned portable fuel trailers, bulk lubricant and DEF equipment, as well as, refined fuel tanks, propane tanks, and equipment.

 

Setup and maintain accurate customer information in Esys, Tank Spotter and Agvance databases, such as all tank information, pricing, taxes, safety checks, regulator dates and contracts, etc.

 

Monitors customer contractual agreements to ensure fulfillment across multiple delivery routes while maximizing profitability.

 

Assists with placing orders, pricing, and billing in myGrowmark, Agvance and Esys for the Energy Department.

 

Ability to learn and utilize accounting software and adapt to ongoing changes that increase operational efficiencies.

 

Applies customer payments on account in a timely and accurate manner.

 

Complies with administrative policies, procedures, safety rules, and governmental regulations.

 

 

OTHER JOB FUNCTIONS

 

Assists with various Energy projects as needed that require attention to detail.

 

Utilizes organization, time management and critical thinking skills to perform work efficiently and effectively.

 

Follows GROWMARK’s Code of Conduct and Corporate Compliance Program, Environmental Health and Safety, OSHA and DOT policies and procedures, as they apply.

 

Performs all other duties as assigned.

 

 

REQUIREMENTS

 

Normally requires an Associate’s degree (A.A), or the equivalent thereof, and 1 – 3 years or more of clerical-related work experience to demonstrate knowledge of professional communication skills, customer service, and ability to multi-task.

 

Proficient in Microsoft Office (Excel, Outlook, Teams, Word).

 

Demonstrate essential abilities including business knowledge, collaboration, communication, customer focus, decision making and skill development.

 

Must have and maintain a valid driver’s license and satisfactory driving record.

 

May be required to work extended hours beyond those considered “normal” to meet seasonal demands. 

 

Work is conducted mainly in a typical office environment, with slight exposure to other warehousing or storage facilities with generally satisfactory conditions, sometimes in a noisy, open area while interacting with team members and serving customer’s needs.

 

Ability and willingness to participate in required training that may include education on GROWMARK’s policies and procedures and additional training as it relates to the requirements of the position.
