Locational Administrative Assistant-Part Time/Full Time - Piatt County Service Co - Mansfield, IL

PURPOSE AND SUMMARY STATEMENT

 

Under the direction of the Controller and Plant Manager, demonstrates strong interpersonal and business skills and will be responsible for a variety of tasks, including but not limited to billing, servicing customers, and assisting with inventory control. Performs all job functions in a timely and accurate manner to increase customer satisfaction and maintain the reputation and profitability of the organization.

 

 

ESSENTIAL JOB FUNCTIONS

 

Communicate effectively with customers over the telephone and in person to answer questions, resolve concerns, and direct requests appropriately

 

Maintain accurate bookkeeping records for the facility, including billing and inventory.

    • Compiles data and prepares invoices by gathering purchase orders, sales tickets, delivery tickets, load-out documents and charge slips for billings using computer based programs and software.
    • Ensures accurate pricing and maintains records of current price lists
    • Posts billing transactions to accounting records and ensures accurate and consistent billing methods
    • Receives and records paid on accounts and prepares and balances daily deposits

 

Assist in taking and reconciling physical inventory of the office and location;

  • Reviews shipping documents, bill of ladings, verficiation of product received/returned and transferred in/out and enters product movement

 

Assists plant manager and locational salesman as needed.

 

Establish and maintain the professional image of the office

 

Pays close attention to detail, prioritizes work daily and displays organizational skills to keep up with the continuously changing demands

 

Performs all other duties as assigned

 

 

REQUIREMENTS

 

Demonstrates ability to problem-solve and multi-task in an intense, fast-paced environment

 

Excellent math, written, and verbal communication skills

 

Advanced knowledge of Microsoft Office, including Excel and Word

 

Proven capability to learn complicated software

 

Experience working with the public, demonstrating outstanding customer service

 

Ability to work seasonal hours, ability to work Saturdays on a flexible schedule

 

Must have and maintain a valid driver’s license and satisfactory driving record
