Customer Service Representative

 

LOCATION:                    Onarga, IL

 

REPORTS TO:                Warehouse Manager                   STATUS: Non-exempt

SALARY: $42,500 - $47,000

                                                           

 

 

PURPOSE AND SUMMARY STATEMENT

 

Provides customer service and administrative assistance to warehouse manager and other personnel.  Primary focus on warehouse billing, inventory, and administrative functions.

 

 

ESSENTIAL JOB FUNCTIONS

 

Meets and greets customers and visitors.

 

Manage inventory transfers and company use.

 

Complete load out/receiving tickets for product leaving the warehouse.

 

Coordinate petroleum route deliveries daily.

 

Place product orders daily to maintain inventory levels.

 

Compiles data and prepares invoices by gathering purchase orders, sales tickets, delivery tickets and load-out documents for billings using computer-based programs and software.

 

Ensures accurate pricing and maintains record of current price lists.

 

Posts billing transactions to accounting records and ensures accurate and consistent billing methods.

 

Maintains and reconciles inventory by reviewing shipping documents and bill of ladings to verify product received/returned and transferred in/out and enters product movement.

 

Coordinates physical counts of inventory, reconciles inventory variances, and posts inventory transactions.

 

Receives and records paid on accounts and prepares and balances daily deposits to sales report.  Ensures daily credit of deposit to company's bank account.

 

Ensures purchase orders and bills are transmitted to main office.

 

Maintain files of certification on part time/full time help.

 

Coordinates, schedules, and prepares for meetings as requested.

 

Answers phone and communicates with appropriate personnel to resolve customer inquiries in a timely manner.

 

Demonstrates a high degree of professionalism at all times and ability to maintain confidentiality.

 

Pays close attention to detail, prioritizes work daily and displays organization skills to keep up with continuously changing demands.

 

 

OTHER JOB FUNCTIONS

 

Occasionally may be asked to drive and perform local errands.

 

Performs all other duties as assigned.

 

 

REQUIREMENTS

 

            Education and Experience

 

Normally requires a high school diploma or equivalent and 1-2 years of related work experience. 

 

            Functional Competencies

 

Proven team building skills and the ability to work independently and in a team-oriented environment. 

 

Proven professional communication, customer service, persuasion, and presentation skills.

 

Must be organized and have problem-solving skills.

 

Proven computer skills and the ability to use the computer to enhance employee productivity is a must.

Demonstrated core competencies including business knowledge, communication, customer focus, decision making, collaboration and skill development.

 

            Other Requirements

 

Must have and maintain a valid driver’s license.

 

Must be able to work hours beyond those considered normal.

Actual compensation will be determined based on experience, location, and other factors permitted by law.  In addition to base pay, certain roles may be eligible for bonuses, incentives, and commissions.
