PURPOSE AND SUMMARY STATEMENT:

Are you detail-oriented and experienced in accounting or administrative work? We’re looking for a motivated individual to join our team as an Accounts Payable Specialist. In this role, you will be responsible for processing approved invoices, maintaining accurate records, and ensuring timely payments to vendors. You'll work closely with both internal teams and external vendors to resolve discrepancies, manage documents, and assist in account reconciliations. ESSENTIAL JOB FUNCTIONS:

Reviews invoices and matches them to the related supporting documentation (purchase orders, bills of lading, etc.), assuring that items for resale have been physically received.

Ensures the timely processing of invoices and credits to maximize available discounts and minimize additional service charges.

Verifies and corrects vendor data, payments, invoices, credits, and discount terms, including verifying invoices to reflect the appropriate sales tax amount prior to entering data into the computer

Communicates in a professional manner with staff and vendors regarding missing documentation, approvals, pricing, or any other discrepancies.

Presents all documents to proper management personnel for proper authorizations and account coding.

Maintains efficient and up-to-date manual and automated filing system in accordance with retention guidelines.

Assist with account reconciliations as directed and prepare analysis of invoices as requested.

Enters new vendors into the system and updates information in the master files as needed.

 

OTHER JOB FUNCTIONS:

May be required to cross-train and fill in for other office positions such as administrative assistants, accounts receivable, or other administrative roles.

Provide customer service in a timely and accurate manner to increase customer satisfaction and maintain the reputation of the organization.

Performs all other duties as assigned.

 

REQUIREMENTS:

Requires High School Diploma, with some college preferred in a business-related field.  Normally requires minimum of 2 years or more of office related work experience to demonstrate knowledge of basic accounting functions and technical proficiency with computer software.

Demonstrate essential abilities business knowledge, collaboration, communication, customer focus, decision making and skill development.

Must have and maintain a valid driver’s license and satisfactory driving record.

Must be able to work hours beyond those considered “normal.”

 

SALARY RANGE:

$18.00 – $23.00 / HOUR

Actual compensation will be determined based on experience, location, and other factors permitted by law.  In addition to base pay, certain roles may be eligible for bonuses, incentives, and commissions.
