PURPOSE AND SUMMARY STATEMENT
Responsible for the timely and accurate processing of vendor invoices and payments, as well as performing clerical and accounting duties in accordance with accepted accounting standards. This role helps maintain accurate financial records, ensures vendors are paid correctly and on time, and supports smooth business operations for the Pekin office.

ESSENTIAL JOB FUNCTIONS
Invoice Processing & Verification
- Reviews invoices and matches them to the related supporting documentation (purchase orders, bills of lading, etc.), assuring that items for resale have been physically received.
- Ensures the timely processing of invoices and credits to maximize available discounts and minimize additional service charges.
- Verifies and corrects vendor data, payments, invoices, credits, and discount terms, including verifying invoices to reflect the appropriate sales tax amount prior to entering data into the computer.
Vendor & Staff Communication
- Communicates in a professional manner with staff and vendors regarding missing documentation, approvals, pricing, or any other discrepancies.
- Presents all documents to proper management personnel for proper authorizations and account coding.
Filing & Recordkeeping
- Maintains efficient and up-to-date manual and automated filing systems in accordance with retention guidelines.
Reconciliation & Analysis
- Assists with account reconciliations as directed and prepares analysis of invoices as requested.
- Enters new vendors into the system and updates information in the master files as needed.
OTHER JOB FUNCTIONS
- Cross-trains with other office positions (e.g., administrative assistants, accounts receivable, or other administrative roles) to ensure continuity of operations.
- Provides customer service in a timely and accurate manner to increase customer satisfaction and maintain the reputation of the organization.
- Performs all other duties as assigned.
REQUIREMENTS
- High School Diploma required; Associate’s degree in Accounting, Finance, or a related business field preferred.
- Normally requires a minimum of 2 years or more of office-related work experience to demonstrate knowledge of basic accounting functions and technical proficiency with computer software.
- Proficiency in Microsoft Office Suite required. Experience with AgVance accounting software is preferred but not required — training will be provided.
- Demonstrate essential abilities: business knowledge, collaboration, communication, customer focus, decision making, and skill development.
- Must have and maintain a valid driver’s license and satisfactory driving record.
- Must be able to work hours beyond those considered “normal.”

COMPENSATION
This position offers an estimated range of $18.00 – $24.00 per hour, depending on experience and qualifications. Starting pay within the range will be based on qualifications and experience. In addition to base pay, this position may have the opportunity to earn bonuses based on company or individual performance metrics.

Actual compensation will be determined based on experience, location, and other factors permitted by law. In addition to base pay, certain roles may be eligible for bonuses, incentives, and commissions.
