PURPOSE AND SUMMARY STATEMENT

 

Performs a wide variety of administrative support and office clerical functions including customer service, data/content management, and accounts receivable functions.

 

 

ESSENTIAL JOB FUNCTIONS

 

Serves as the front line for customer care, responding to phone calls & e-mails in a professional and timely fashion.

 

Assist Credit Managers with various cash management and account maintenance functions, including posting of customer payments, check requests, finance charge reversals, entry of credit application and handling of sensitive customer information.

 

Maintains customer account information in multiple software and data management systems, provides administrative support for business solutions programs, including filing of paperwork.

 

May be asked to assist others in similar roles depending on company’s needs.

 

Reviews the customer statements for integrity before mailing them out, answering questions in regards to statements as they come in.

 

Reconciles customer accounts when the need arises.

 

Manages the processing of payments and applications of LIHEAP and other outside program funds

 

Assist Credit manager with setting up accounts, mailing new account and past due letters.  The ability to proof for accuracy is a must.

 

Operates office machines, such as photocopiers and scanners, fax machines, voice mail systems, 10 key adding machine, personal computers and computer systems (i.e. Microsoft Office).

 

 

OTHER JOB FUNCTIONS

 

Occasionally may be asked to drive and run local errands as requested.

 

May be required to cross-train and substitute for other administrative positions.

 

Follows Conserv FS’s Code of Conduct and Corporate Compliance Program, Environmental Health and Safety, OSHA and DOT policies and procedures, as they apply.

 

May be asked to learn and execute new duties as the company evolves

 

Performs all other duties as assigned.

 

 

REQUIREMENTS

 

Normally requires a high school diploma, or the equivalent thereof, and 1 – 3 years or more of clerical related work experience to demonstrate knowledge of professional communication skills, typing proficiency and Microsoft Office programs.

 

Demonstrate essential abilities including business knowledge, collaboration, communication, customer focus, decision making and skill development.

 

Must be able to critically think and solve problems for customers and other employees

 

Must have and maintain a valid driver’s license and satisfactory driving record.

 

May be required to work extended hours beyond those considered “normal” to meet seasonal demands. 

 

Ability to create and keep complex Excel spreadsheets.

 

Ability to work effectively in a fast paced environment is essential.

 

Work is conducted mainly in a typical office environment, with slight exposure to other warehousing or storage facilities with generally satisfactory conditions, sometimes in a noisy, open area while interacting with team members and serving customer’s needs.

 

Ability and willingness to participate in required training that may include education on Conserv FS’s policies and procedures and additional training as it relates to the requirements of the position.
