REPORTS TO:  Accounts Payable Manager                                         STATUS:  Non-Exempt                        

 

                                                                       

PURPOSE AND SUMMARY STATEMENT

 

Performs clerical and accounting duties according to accepted accounting standards.

ESSENTIAL JOB FUNCTIONS

 

Review of Purchase Orders and Purchase Receipts for accuracy.

Issues prompt and correct payments either electronically or via a check.

Ensures the timely processing of invoices and credits to maximize available discounts and minimize additional service charges.

Verifies and corrects vendor data, payments, invoices, credits and discount terms, including verifying invoices to reflect the appropriate sales tax amount prior to entering data into the computer.

Communicates in a professional manner with staff and vendors regarding missing documentation, approvals, pricing or any other discrepancies.

Ensures invoices coming due are communicated with the Department Managers/Location Managers for approval of product and expense invoices.

Maintains efficient and up-to-date manual and automated filing system and completes general office procedures.

Completes supplier reconciliations on a monthly basis and resolves vendor issues.

Enters new vendors into the system and updates information in the master files as needed.

Assist in development of APolices and Procedures.

Assist in training of new location Administrators and Managers.

 

OTHER JOB FUNCTIONS

 

May be required to cross-train and substitute for other administrative positions.

Occasionally may be asked to drive and run local errands as required.

May be asked to learn and execute new duties as the company evolves.

Follows Conserv FS’s Code of Conduct and Corporate Compliance Program, Environmental Health and Safety, OSHA and DOT policies and procedures, as they apply.

 

Operates office machines, such as photocopiers and scanners, fax machines, voice mail systems, 10 key adding machine, personal computers and computer systems (i.e. Microsoft Office).

 

Performs all other duties as assigned.

 

 

 

 

 

 

 

 

REQUIREMENTS

 

Normally requires Associate’s Degree in Accounting, or the equivalent thereof, and/or prior work experience to demonstrate knowledge of basic accounting functions and technical proficiency with computer software.

 

Demonstrated essential abilities business knowledge, collaboration, communication, customer focus, decision making and skill development.

 

Must have and maintain a valid driver’s license and satisfactory driving record.

 

Ability and willingness to participate in required training that may include education on Conserv FS’s policies and procedures and additional training as it relates to the requirements of the position.
