Energy Dispatch & Operations Efficiency Specialist

 

REPORTS TO:  Energy Procurement & Information Systems Manager            STATUS: Exempt

SALARY RANGE: $50,000 - $60,000 / Year                                                                                                                  

PURPOSE AND SUMMARY STATEMENT

 

The Energy Dispatch and Operations Efficiency Specialist is responsible for coordinating refined fuel dispatch operations, monitoring storage inventories, reviewing optimization of delivery routes with operations managers, and improving operational efficiency across the Conserv FS service territory. Utilizing wEBS, tank monitoring platforms, and dispatch management tools, the specialist ensures timely fuel deliveries, inventory accuracy, efficient fleet utilization, and high levels of customer service while supporting Conserv FS operational and financial goals.

 

ESSENTIAL JOB FUNCTIONS

 

Dispatch and Routing Management

Utilize wEBS to schedule, dispatch, and optimize refined fuel deliveries.

Monitor daily delivery activities and recommend route adjustments based on growth patterns, inventory levels, weather conditions, and operational priorities.

Balance seasonal fluctuations across routes to ensure vacation coverage, maximize driver utilization, and meet peak delivery demand.

Coordinate with drivers, operations personnel, and customer service teams to ensure efficient and timely service.

Analyze route performance and identify opportunities to improve delivery efficiency, reduce mileage, and lower operating costs.

Maintain accurate dispatch records and delivery documentation.

 

Tank Monitoring and Inventory Management

Monitor customer and bulk storage tank levels through remote tank monitoring systems.

Proactively schedule deliveries based on consumption patterns, tank inventory thresholds, seasonal demand, and customer requirements.

Investigate tank alerts, consumption anomalies, and inventory discrepancies.

Ensure adequate product availability by coordinating inventory replenishment with supply and procurement teams.

Maintain accurate inventory reporting and reconciliation.

 

Reporting and Data Management

Generate daily, weekly, and monthly reports related to deliveries, tank inventories, routing efficiency, and operational performance.

Maintain accurate records of fuel deliveries, inventory transactions, and customer activity.

Analyze operational data and prepare summaries for management review.

Assist with forecasting seasonal demand and delivery volumes.

 

Customer Service and Communication

Serve as a point of contact for customer inquiries regarding deliveries, tank levels, and service schedules.

Communicate proactively with customers regarding upcoming deliveries and service updates.

Coordinate with sales and operations teams to address customer needs and concerns.

Maintain positive customer relationships through responsive and professional communication.

 

Operational Coordination

Support dispatch personnel by preparing schedules, reports, and route documentation.

Coordinate with drivers and operations staff regarding schedule adjustments and customer requests.

Assist with inventory reconciliation and supply planning activities.

Support emergency response communications during severe weather or supply disruptions.

 

Compliance and Recordkeeping

Maintain operational files and documentation in accordance with company policies and regulatory requirements.

Assist with audits, reporting requirements, and compliance documentation.

Ensure accuracy and confidentiality of customer and operational records.

OTHER JOB FUNCTIONS

 

Assists the Energy Procurement & Information Systems Manager upon request.

Supports and contributes to total company goals and objectives through collaboration efforts.

Follows Conserv FS’s Code of Conduct and Corporate Compliance Program, Environmental Health and Safety, OSHA and DOT policies and procedures, as they apply.

Performs all other duties as assigned.

 

REQUIREMENTS

 

Normally requires a college degree in business administration, agriculture, operations management, or other business-related discipline and at least 3-5 years of experience in energy administrative, dispatch support, customer service, or agricultural-related industries.

Experience managing inventory systems or wEBS software.

Familiarity with tank monitoring platforms and inventory management systems.

Strong proficiency in Microsoft Excel, Word, Outlook, and reporting tools.

Ability to manage multiple software applications and databases simultaneously.

Knowledge of refined fuels, lubricants, and energy market fundamentals.

Proven ability to work independently and in a team-oriented environment.

Strong organizational and administrative skills.

Excellent attention to detail and accuracy.

Effective verbal and written communication skills.

Ability to prioritize multiple tasks in a fast-paced environment.

Customer-focused mindset.

Strong analytical and problem-solving abilities.

Must have and maintain a valid driver’s license and can travel independently and overnight as needed.

Actual compensation will be determined based on experience, location, and other factors permitted by law.  In addition to base pay, certain roles may be eligible for bonuses, incentives, and commissions.
