Payroll Specialist - GROWMARK, Inc. - Bloomington, IL

PURPOSE AND SUMMARY STATEMENT

 

Responsible for the timely and accurate processing of payroll, maintenance of payroll records, tax and garnishment setup and reconciliation of errors.  Provides support to local HR/Payroll Administrators, responds to tax authority inquiries and runs reports as needed. 

 

ESSENTIAL JOB FUNCTIONS

 

Prepares and processes payroll for assigned companies for regular and off-cycle processing.  Reviews validations and errors and works to resolve all items prior to live payroll processing. Provides support to HR/Payroll Administrators.

 

Loads hours files in preparation for payroll processing, verifies accuracy of the load, and resolves discrepancies.  Assists HR/Payroll Administrators with employee simulations and troubleshooting issues.

 

Creates direct deposit transmissions, prints/mails checks/stubs, and completes post payroll processes for general ledger system(s) and other reporting, as needed. 

 

Ensures state and local tax information is set up accurately for employees.  Resolves discrepancies as needed.

 

Creates and verifies billing for processed companies.

 

Provides back up for the transmission of bank files.  Monitors, recalls, and verifies reimbursements to banks.  Corrects, rejects, and posts reconciled checks.

 

Responds to employee inquiries regarding payroll issues or questions.

 

Creates and submits New Hire Reporting to state agencies.

 

Completes reconciliation of assigned payroll general ledger accounts on a monthly basis.  Researches and resolves discrepancies in a timely manner.  Submits journal entries for changes/corrections to finance.

 

Participates in system testing associated with software updates, new configuration, or new functionality.

 

Assists with HR/Payroll conversion projects and testing for new mergers and acquisitions, or new companies.

 

Assists with preparing payroll reports for HR/Payroll Administrators, internal/external auditors, and other requests, as needed.

 

OTHER JOB FUNCTIONS

 

Follows GROWMARK’s Code of Conduct and Corporate Compliance Program, Environmental Health and Safety, OSHA and DOT policies and procedures, as they apply.

 

Performs all other duties as assigned.

 

REQUIREMENTS

 

Requires a minimum of a two-year degree in accounting or business or the equivalent.

 

Minimum of 2-3 years of experience in payroll processing with demonstrated knowledge of payroll and accounting processes.  Knowledge of multi-state payroll, using multiple federal tax ID’s (FEIN) and in-depth understanding of local taxes.  Experience with SAP Payroll preferred.

 

Understanding and experience with payroll processing, taxes, analysis, reconciliation, general ledger, billing, control functions, journals, implementations, conversions, audits and report generation.

 

Strong demonstrated MS Excel skills and experience with other MS Office products.

 

Ability to acquire FPC (Fundamental Payroll Certification) or CCP (Certified Payroll Professional) certification or be willing to complete certification within two years of hire.

 

Demonstrates essential abilities including business knowledge, collaboration, communication, customer focus, decision making and skill development.

 

Proven professional communication, interpersonal, and customer service skills and the ability to work with federal and state agencies, independently or in a team environment.

 

Demonstrated planning, organization, and problem-solving skills and the ability to meet established deadlines, perform complex accounting functions, do multi-tasking, and analytical projects as requested.

 

Must have and maintain a valid driver’s license and the ability to travel overnight and to work overtime as necessary. 

 

Ability and willingness to participate in required training that may include education on GROWMARK’s policies and procedures and additional training as it relates to the requirements of the position.
