PURPOSE AND SUMMARY STATEMENT

Responsible for timely completion of invoicing, overseeing receivables and payables, account set up and providing excellent customer service that positively impacts business.

 

ESSENTIAL JOB FUNCTIONS

Compiles data and prepares accurate invoices for all service work and products sold in a timely manner to ensure accurate receivables.

 

Serves as National Sales office contact for IL and other assigned customers and member companies for sales, distribution and services.

 

Leads customer communication regarding invoicing, contracting programs. Analyzes and solves customer issues related to Energy Products.

 

Leads customer set up and maintenance activities for IL, coordinates with credit department to insure proper credit limits established and maintained.

 

Understanding and experience with energy-related areas including marketing and sales, branding, products, price strategy, competitive adeptness, negotiation, product proficiency, resources optimization, and policies and procedures along with marketing strategy, plans, program execution, and communications.

 

Utilizes resources, internal and external of the department, to resolve complex vendor payment issues that occur as a result of customer invoice errors, fuel destination errors, carrier entry errors, and/or system defects ensuring timely and accurate invoice payment.

 

Reviews reconciliation reports and takes appropriate action to resolve routine and complex system issues.

 

Responsible for setting up state tax accounts and accurate reporting within each state.

 

Ensure accurate vendor cost setup and resolve system defects.

 

Processes payments and prepares daily deposit and balances deposit to daily sales report.

 

Contacts customers regarding invoice corrections and protests, ensuring accurate invoicing and timely rebills.

 

Answers customer billing related questions and works with external vendors as well as various internal departments to resolve and prevent future errors and late payments.

 

Run sales reports as needed for the business.

REQUIREMENTS

Normally requires an associate’s degree in business or related field or the equivalent therof, and 4 years of customer service, business and office related work experience with ability to resolve complex situations.

 

Understanding and experience with invoicing, billing, account reconciliation, along with analysis and problem-solving skills.

 

Demonstrates essential abilities including business knowledge, collaboration, communication, customer focus, decision-making and skill development.

 

Proven leadership skills to communicate with other personnel and provide inputs into system changes.

 

Proven professional communication, interpersonal, and customer service skills.

 

Demonstrates planning and organizational skills, the ability to handle multiple tasks with frequent interruptions, prioritize work, and deal with deadlines.

 

Proven ability to work independently and in a team-oriented environment. 

 

Proven computer skills in using Microsoft Office software, especially Excel, SAP and the ability to learn software tools for business processes.

 

May be required to work beyond what are considered normal business hours.

 

Must have a valid driver’s license with the ability to work extended hours and travel independently overnight.

 

Ability and willingness to participate in required training that may include education on GROWMARK’s policies and procedures and additional training as it relates to the requirements of the position.
