PURPOSE AND SUMMARY STATEMENT

Responsible for accounting and procurement related to IT related hardware, software, services, and supplies, in abidance to corporate and departmental policies.

 

ESSENTIAL JOB FUNCTIONS

Function as lead for completion of business processes related to processing invoices related to IT procurement.  These processes include reconciliation, payment of invoices, assuring procurement processes are adhered to, onboarding of new vendors, vendor communications related to remittance, and applicable tax submission.

 

Reviews IT software, services and support related requests and requisitions for completeness, to identify and evaluate sources for fulfillment, to obtain pricing, to identify and recommend best vendor fulfillment.  Place corporate and customer orders with vendors.  Complete receiving, reconciliation, and payment of invoicing via internal processing.

 

Assist internal/external customers with procurement projects to determine requirements for software products and services and identify vendors to meet those requirements.  Research product information, terms of use, track shipments, enter on-line orders with vendors, function as line of communication between vendors and customers. Utilize tools such as Altiris/ServiceNow asset management software to create historical records and outside references.

 

Explore pricing and discount options with vendors for purchases.  Engage Corporate Counsel for review of legal documents per corporate policy, where necessary.

 

Facilitate process training for end users submitting software, maintenance or services orders. 

 

Work with, and on behalf of, our customers to successfully resolve any invoice or billing disputes.  Research and resolve complex vendor payment issues.  Serve as a resource between our vendors and our customers to resolve any issues with orders or invoices.

 

Partners with Accounting, Accounts Payable, Retail Accounting and SAP Material teams to properly code customer invoices to the correct customer, department and/or SAP material number.

 

Manages the consolidated IT customer monthly billing project and its team of product owners.  Responsible for organizing and maintaining the customer spreadsheet and billing products, including archiving past reports, processing invoice disputes, creating and retiring SAP material numbers and updating the reclass reference sheet.

 

Constantly monitoring the available budget and maintaining assurance purchases are attributed to the correct business unit and general ledger account. 

 

Manage the corporate software library and participate in the request and approval process for new software installations utilizing reporting and tracking in Altiris/ServiceNow to determine open entitlements.  Research and evaluate unique software requests to:

 

-Determine if a similar standard is in use.

-Review license model and terms of use as prescribed by the vendor.

-Explore means of sourcing software titles, whether direct with publisher or, by reseller.

-Help maintain licensing counts to assure compliance, and to avoid over licensing.

-Communicate licensing information and requirements to customers.

 

Maintain general working knowledge of the IT hardware used by corporate, retail and Member Company customers.  Maintain cross functional skills to include ability to be able to place hardware orders when needed.

 

Update and maintain IT related purchase and renewal records.

 

Participates with procurement team in maintaining records of anniversary dates for recurring renewals for support, software/hardware maintenance and subscriptions. 

 

Ability to build reports for internal IT customers using Altiris/ServiceNow, SAP, vendor and other sources as requested.  Some reporting may be used in allocation and bill back of products and services to customers.

 

Oversee the divisional digital library of corporate software license agreements and contracts.

REQUIREMENTS

Normally requires a 4-year degree in business or accounting, or the equivalent thereof, and 2+ years or more of related work experience in procurement or, a related Information Technology discipline.

 

Supplier/ vendor relationship management experience preferred.

 

Able to develop and implement means to measure suppliers and internal procurement and licensing processes to drive continuous performance improvement on behalf of the GROWMARK System.

 

Ability to work and think independently without direct supervision and in a team-oriented environment.  Ability to make sound business decisions within corporate guidelines.  Must be highly self-motivated and customer centric.  Must be able to advocate and build consensus among stakeholders.

 

HDI, ITIL, IAITAM or relevant Certification

Proven professional communication and interpersonal skills.

 

Proven organization, time management and planning skills with “attention to detail” and follow-up skills.

 

Proven computer skills, including spreadsheet, report generation, word processing, and Internet. 

 

Demonstrated ability to handle confidential material.

 

Demonstrates essential abilities including business knowledge, collaboration, communication, customer focus, decision making and skill development.

 

Must have and maintain a valid driver’s license and satisfactory driving record.

The ability and willingness to participate in the required training that may include education in GROWMARK’s policies and procedures, and additional training as it relates to the requirements of the position.

Actual compensation will be determined based on experience, location, and other factors permitted by law.  In addition to base pay, certain roles may be eligible for bonuses, incentives, and commissions.
